Before Requesting Access

Access to the PromisSE Homeless Management Information System (HMIS) is exclusively granted to partner agencies actively serving clients within the Big Bend Continuum of Care. The system is used for entering client data and supporting service delivery.

If you are not actively serving clients and are instead seeking information, please contact our HMIS and Data team at HMISHelp@bigbendcoc.org for assistance.

    Download and fill out the Affidavit of Good Moral Character and Background Check Consent form (notarize the affidavit). If your agency has already completed a background check, you can submit those results in step 2, but the consent form must still be completed and submitted.

    Fill out the new user application. This form will allow you to upload your Affidavit, Consent Form, as well as a color copy of your Drivers License/Photo ID.

    While the CoC processes your background check and application, complete all training courses at our PromisSE Learning Management System. Visit the site at learnhmis.org. Use our CoC code, FL506 (no dashes), when prompted for Group Code.

  • 04. New User Orientation & Final Training

    Once your forms and application are processed, and LMS courses are completed, we’ll contact you to schedule your new user orientation and final training. This session is conducted virtually via Microsoft Teams and may take up to 3 hours. Upon completion, you will receive your HMIS login credentials.

Follow these steps to complete your new user registration, submit required forms, complete training, and gain access to our HMIS. System credentials will be issued once all of the required steps are completed.

Frequently Asked Questions

Access is provided exclusively to partner agencies within the Big Bend Continuum of Care who are actively serving clients. If you are not directly working with clients, please email our HMIS and Data team at HMISHelp@bigbendcoc.org for assistance.

Yes, you must still submit the Background Check Consent form, even if your agency has already conducted a background check or a DCF screening. If you have the results, feel free to submit them with your paperwork.

From the time we receive your application and forms, it’s usually only a couple of business days to process. However, it’s up to the applicant to complete their new user training promptly to avoid delays in receiving login credentials.

 

 

While your background check and application are being processed, you can begin and complete the training courses on the PromisSE Learning Management System.

The new user orientation is a final training session conducted virtually via Microsoft Teams. It will guide you through the HMIS system based on your agency’s workflows and can take up to 4 hours. Upon completion, you will be provided with your HMIS login credentials.

HMIS must only be accessed from an agency-provided workstation or laptop with up-to-date antivirus software. Use of HMIS on personal devices is strictly prohibited to ensure security and compliance.

We use Community Services by Wellsky as our Homeless Management Information System (HMIS) platform.
